Transitioning to the new Outlook is simple for users of Outlook 2021 from the Office package, as they can switch to the new version with the option “Test the new Outlook.” The classic Outlook will still be available for use alongside the new version. For those who do not have an Office subscription, the new Outlook can be easily downloaded at no cost. However, it is important to note that this version is still under significant development, with ongoing additions of new features.

Not Yet a Replacement

The term “The new Outlook” may be slightly misleading, as the classic version from the Office suite is not yet set to be replaced by the new Outlook. The initial focus is on replacing the UWP apps Contacts, Mail, and Calendar in Windows 10 and Windows 11. The possibility of replacing the desktop version from the Office suite remains uncertain for the time being.

Enhancements on the Horizon

While the new Outlook offers a centralized interface for managing emails, calendars, and contacts, there are still missing features that are commonly used by professionals. Examples include categories, search folders, and flags for emails. Additionally, offline support, POP3 support, and integration of PST files are currently not available. However, Microsoft is working on adding these functionalities in the upcoming months.

Connectivity Issues

Connecting Microsoft 365 accounts from Exchange Online to the new Outlook may present challenges, as not all subscriptions support this feature. Some accounts, particularly those with custom domains, may encounter connectivity issues. However, most IMAP accounts, as well as iCloud, Gmail, and Microsoft accounts, should connect seamlessly.

Integration with Windows Operating Systems

The new Outlook integrates email, calendars, and contacts within Windows 10 and Windows 11, eliminating the need for separate apps. Task management, which was previously handled by Outlook, has now been shifted to the To-Do app, available on iOS and Android. The new Outlook utilizes WebView2 for a browser-like view, essentially functioning as a web app.

Installation Process

Windows 11 devices from 2024 onwards will automatically come equipped with the new Outlook. Existing Windows 11 computers can expect to receive the new Outlook through Windows Update or the Microsoft Store. The UWP apps Contacts, Calendar, and Mail have not yet been entirely phased out. Once installed on a Windows 10 or Windows 11 PC, the new Outlook offers a consolidated platform for efficient email, calendar, and contact management.
